PowerPoint Tip: Use Blank Slides Instead of Filler

Sometimes fewer is better. Sometimes nothing means a lot. Sometimes, you don’t need to have a PowerPoint slide to go with each and every point in your presentation.

It’s easy for public speakers and business presenters to fall into that trap and you can find yourself wasting hours upon hours trying to find images and putting together needless slides when perhaps a few key slides are all your audience really needs. (Notice we said “your audience” because they are who really matters in content decisions.)

Great Slides Add Value

Good slides support and enhance your points. Great slides add value. If you need a chart, a graph or an image to explain or strengthen your point, then, by all means, use it. But what if all you really need is a graph and your other slides are really just filler?

Consider this solution: Sandwich the slide you actually want to show between two blank slides. Here’s how: Create a slide with a solid black background. The solid color will keep the projection screen from being a distraction. Now insert the graph you actually need after your blank slide and then create another blank slide to go after the graph.

The Solution

Here’s how this scenario might play out: You begin your presentation and quickly grab the attention of your audience. There is a blank slide on the screen but the audience probably doesn’t realize that the projector is even turned on. Your audience is focused on you and what you’re saying. You are the center of attention, not the slides. Then, you click your presentation remote and, viola, there is your graph. The graph stands out and makes your point clearer. The graph adds value. You then click the remote again to another blank slide and continue speaking. All eyes are on you. Now, you’re ready for your big finish.

Of course, there are many situations when you’ll want a full slide deck complete with a title slide, numerous points, and final thoughts. As in all good design, the form should always follow the function. But always ask yourself these questions before settling on a slide strategy: Who is the star of this presentation, me or the slides? Am I running the slides or are they running me? What’s best for my audience?

The answers to those questions will help you to create a more powerful, more persuasive presentation.

PowerPoint Tips to Make Your Presentation More Powerful

It’s hard to believe PowerPoint has been around for more than 30 years. It has become a common tool used by most companies to produce business presentations. Although the program is easily accessible, not all presentations are successful. A well-designed presentation helps make your content more understandable, as well as more memorable. Unfortunately, good design is not a template in PowerPoint.

If you’d like to maximize the impact of your PowerPoint presentation, here are a few simple guidelines to keep in mind:

> Consistency: Use master slides to help give the presentation structure, and save you time as you create new slides. These also can be customized if needed.

> Focus: Don’t speak to your slides—talk to your audience. Each slide should support and reinforce your messaging.

> The Opener: Open with something surprising or intriguing that appeals to your audience’s emotions. This will quickly get their attention.

> Slide count: Limit the number of slides. If you are not sure, try to go with one per minute.

>Format: Never use paragraphs. Bulleted items are best—no more than six bullet points per slide. Try to avoid centering the copy. Left-aligned text is best, as it makes for a smoother read.

> Pacing: Animated builds (text that appears with a mouse click) control the pacing of the presentation. This keeps the audience focused on you and not reading ahead.

> Fonts: Stay with a few standard fonts and avoid trendy typefaces that are hard to read. Sans-serif fonts are easiest to read. Some of the oldest typefaces, such as Helvetica or Arial, never go out of style. Use varying weights for emphasis—never use all caps.

> Photos: One of the most common mistakes is using low quality, gimmicky photos. Keep in mind that quality images are a reflection of your brand.

> Special Effects: You’re not trying to make the next Star Wars epic. Avoid overused transitions, fly-ins, inappropriate animations, and sounds. These quickly become annoying and distract from your communication.

Using these tips will help you to have well-designed PowerPoint slides that support your key points and give you a more powerful presentation.

Public Speaking Tip #34: Use PowerPoint to Enhance

Should you use PowerPoint or other presentation software in public speaking or business presentations? My rule is this: if slides enhance your speech or business presentation, then, by all means, use them.

Sometimes we need a photo, a chart, a graph or some visual representation to better understand a concept or to make an emotional impact. A well-done PowerPoint can help you convey important information. And given that most people are visual learners, it can be a powerful complement to your presentation. But a poorly done PowerPoint can harm your credibility as a public speaker or business presenter.

If you use PowerPoint, it must not become your on-screen presentation outline and you should not simply read bullet points to your audience.

Other Considerations

Another consideration in deciding whether to use PowerPoint or not is the size of the screen your slides will be projected onto. Is the screen too small to make a visual impact? Also, what about the lighting — will you have to turn off some or all of the lights in order to see the screen? You don’t want to be standing in the dark. If you are trying to engage your audience, they’ll likely need to see you.

You’re the Star of Your Presentation

You need to be the star of your own speech or business presentation. PowerPoint and other visual aids should be cast in supporting roles. Sometimes writing on a flip chart or a whiteboard can be more engaging to your audience. Even more engaging is instructing the audience to draw something or asking them to write important information on their own notebooks. You may want to think of something creative, as demonstrated in Public Speaking Tip #32.

The Choice is Yours

You’ll need to make a decision on the pros and cons of using PowerPoint or other presentation software for your speech or business presentation. Don’t automatically think you have to use presentation software. Some of the greatest speeches of all time didn’t use PowerPoint. Consider creative alternatives.Once you’ve thought everything through and weighed all the options, you will emerge with a more effective presentation.
